McDermott Senior Administrative Assistant in Büttel, Germany

Job Overview:

Responsible for providing administrative support to the following Corporate Legal Functions: Compliance, HR & Data Privacy, Corporate & Securities, Corporate Transactions, and IP.

Key Tasks and Responsibilities:

  • Type and proofread documents, correspondence and forms.

  • Carry out varied assigned tasks requiring knowledge of office protocol and demonstrates an understanding of the organization, programs and procedures related to the work of the office.

  • Coordinate and set up meetings and conferences, arrange travel and work on special projects.

  • Maintains schedules of one or more individuals.

  • Set up and maintain manual and electronic filing systems.

  • Maintain office supplies and other materials required for department’s or project’s activities.

  • Answer the telephone, takes and relays messages and addresses routine and non-critical issues or routes to appropriate person.

  • Coordinate and process general administrative work such as time sheets, vacation requests, supply requisitions, etc.

  • Photocopy, fax and scan documents as required.

  • Assure effective mail and package distribution.

  • Assist Employees and Managers with general administrative requests.

  • Track and coordinate engineering licenses for business segment; ensure all necessary licenses are in compliance.

  • Perform additional assignments under supervisor’s direction.

  • Organize and schedule meetings and appointments

  • Organize travel arrangements for Senior Director Marine Assets and team members such as booking flights, hotels, transportation, etc.

  • Submit and reconcile expense reports for Senior Director Marine Assets

  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

  • Produce and distribute correspondence memos, letters, faxes and forms

  • Research and create presentations

  • Review / answer emails as needed

  • Maintain up-to-date employee holiday records for the team

  • Maintain contact lists

  • Order office supplies

  • Prepare and monitor invoices

  • Special projects as assigned

Essential Qualifications and Education:

  • 5+years of relevant experience.

  • High School diploma.

  • Advanced knowledge of MS Office and other related software skills required; Advanced skill in operating a personal computer, various printers, fax machine, scanner and other office equipment are necessary.

  • In-depth knowledge of business procedures, letter and report formats.

  • Ability to read and comprehend instructions, to write correspondence and memos.

  • Able to effectively present information to co-workers and the general public.

  • Strong organizational, multitasking, attention to detail and interpersonal skills.

  • Ability to work well with all levels of internal management and staff.

  • Strong communication skills, both written and verbal.

  • Minimum of 3-5 years of Administrative Assistant experience in a corporate setting

  • High school Diploma / GED or equivalent years of experience

  • Proficient in Microsoft Office - PowerPoint, Excel, Word and Outlook

  • Ability to write, speak and interact clearly and professionally with all levels of management as well as external clients

  • Extremely organized and detail oriented. Ability to juggle multiple tasks with superb accuracy

  • Can handle sensitive information with the highest degree of integrity and confidentiality

  • Strong sense of urgency and problem solving skills

  • Ability to work well with a team and support other admins as required

  • Knowledge of business procedures, letter and report formats

  • May require occasional overtime

Preferred Qualifications and Education:

  • Prior law firm or corporate legal department experience a plus; Experience with legal matter management/ebilling applications (TyMetrix 360) a plus.
